General Conditions


Bookings

Bookings can be made by e-mail to info@ferdakompaniid.com or by fax to +354/533 11 66 . Please include as many details in your booking as possible, in order for Iceland Holidays to ensure efficiency in responding to your request, including the passengers name, flight information and if transfer service to and/or from Keflavík airport is needed, all accommodation, tours and other services required. For group bookings please contact info@ferdakompaniid.com as well.

Terms of Payment

Individuals:

A deposit of 30%, of the total package price, has to be paid when confirming the package to the Icelandic Travel Company (ITC). ITC will send a Proforma invoice for full payment and full payment (less deposit) should reach ITC at least 5 weeks prior to your arrival in Iceland or upon reservation if you book your trip or activity less than 5 weeks prior to your arrival in Iceland. In case of further delay on payments, ITC will reserve the right to treat this as a cancellation and withdraw its confirmation of the services. When the booking is made less than 30 days before arriving in Iceland, full payment of the package or service rendered is required. After receiving the deposit ITC will start making the reservations required for you stay in Iceland. Depending on the time you make your reservation, we will send you all necessary documents required or deliver upon arrival, including (vouchers, road book, map of Iceland, .) When we think that there is not enough time to send you all the necessary documents, you will receive them on arrival in Iceland. Payments can be made by credit card (Eurocard/Mastercard and Visa) or bank Swift/IBAN transfer.

Groups:

A deposit of 30%, of the total package price, has to be paid 8 weeks prior to arrival. ITC will send a Performa invoice for full payment, 6 weeks prior to arrival. Full payment (less deposit) shall reach ITC at least 4 weeks prior to arrival in Iceland. In case of further delay on payments, ITC will reserve the right to treat this as a cancellation and withdraw its confirmation of the services. When the booking is made less than 50 days before arriving in Iceland,  full payment of the package or service rendered is required. For large group bookings of more than 50 rooms, ITC can require a 35% deposit for the accommodation which is non- refundable if the group is cancelled less than 6 months prior to arrival. Payments can be made by credit card (Eurocard/Mastercard and Visa) or bank Swift/IBAN transfer.

Rooming lists

A preliminary rooming list must be received no later than 8 weeks prior to your arrival in Iceland, and a final rooming list at least 5 weeks prior to your arrival.

Validity of prices

All offers sent by ITC are valid for 14 days from the day that the offer is issued. When the 14 days are passed, a new price could be calculated and the old one will not be valid anymore. The new offer will be again valid for 14 days. All rates quoted or shown in our tariffs are based on current purchasing prices in Iceland. ITC reserves the right to increase prices already quoted or published in our pricelists without notice in the event of currency fluctuation, government taxes, or due to any other cost increases that are outside ITC's control. Any eventual changes in rates will not be made with less than 8 weeks' notice before expected arrival in Iceland. After the invoice has been issued the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. ITC will absorb an amount equivalent to 5% of the package price. Amounts that exceed 5% will be charged and clients will be entitled to cancel their booking with a full refund if the surcharge exceeds 10%.

Cancellation

All cancellations must be made by letter, fax or e-mail. In conformity with business practices within the Icelandic travel industry, the Travel Agent is obliged to charge cancellation fees to passenger(s) as follows:

Time of cancellation: Individuals
30 days or more prior to arrival: Cancellation fee, 80€ per person.
Less than 30 days and more than 19 days prior to arrival: 25% of total amount or a minimum of 80€ per person.
Less than 20 days and more than 9 days prior to arrival: 50% of total amount or a minimum of 80€ per person.
Less than 10 days and more than 48 hours prior to arrival: 80% of total amount or a minimum of 80€ per person.
Less than 48 hours notice: 100% = No refund.

Time of cancellation: Groups (10+)
For large groups (50 rooms or more):
More than 6 months prior to arrival: 20% cancellation fee on accommodation only

All groups:

More than 8 weeks prior to arrival: no cancellation fee
Less than 8 weeks and more than 4 weeks: 10%
Less than 4 weeks and more than 1 week: 50%
Less than 1 week and more than 72 hours: 75%
Less than 72 hours: 100%

Please note that cancellation of passengers within a group may cause a price increase for the group or a cancellation fee for the passenger. Cancellation terms may be stricter than stated above when dealing with conferences and large groups. If a service which has unconditionally been confirmed is cancelled by ITC, for example due to insufficient participation, cancellations must be made with at least 5 week's notice on ITC behalf. ITC shall make every effort to provide similar alternative arrangements without additional cost to the buyer. Should those alternatives not be to the buyer's satisfaction, a full refund shall be made to the amount paid.

Changing Fees

ITC reserves the right to charge EUR 50,- for changes made to an already confirmed reservation.

Liability

ITC disclaims responsibility for any loss, damage, accidents, sickness or schedule change caused by weather, strike or any other irregularity outside ITC control. ITC reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. All extra costs due to changes or delays in flights (domestic and international) are at the traveler’s expense (extra hotel nights, meals, transfers, etc.) We advise all our clients to have purchase a travel insurance if they don’t already have one, as clients are on their own responsibility on optional tours, such as riding tours, caving, diving or snowmobile tours. If the client is not satisfied with the trip to Iceland he/she must inform ITC of this within 2 months after their departure from Iceland. No compensation request would be regarded as valid after this 2-months delay. All information on the website is subject to change. ITC reserves the right to alter/change/correct any mistakes that may possibly appear on the website or price list. The website may not be reproduced elsewhere in whole or in part without the permission of the publisher. ITC cannot be held responsible for the acts of a third party (airline, hotel or guesthouse, restaurant, bus company, etc.).
